1. What we collect
- Booking details: name, email, phone number, country, residency (for Cambodian rates), billing address and order history.
- Race registration for each team member: name, date of birth, gender (for results categories), nationality, T-shirt size, emergency contact, and acceptance of the Participant Waiver. For participants under 18, we also collect the parent or guardian’s consent form.
- Health information (optional): medical conditions or allergies that you choose to share so our medical team can help you safely. We only use this for your safety at the Event.
- Payment: payments are processed by our payment provider (ABA PayWay). We do not see or store your full card details.
- At the Event: race timing results, photographs and video (see section 6), and records of any incident or medical treatment.
- Website use: if you accept analytics cookies, Google Analytics collects information about how you use our site, such as pages viewed, device and approximate location. If you decline, analytics cookies are not used.
- Communications: emails you send us, and whether you opened our newsletters if you subscribe.
2. How we use it
- To sell and deliver your tickets and merchandise, and to provide customer support.
- To register your team, organise race waves, record results and send race information.
- To keep people safe: medical support, emergency contact, security and incident records.
- To check eligibility for Cambodian rates and age rules.
- To send event updates. Marketing emails are only sent if you have opted in, and you can unsubscribe at any time.
- To improve our website and events, using anonymous or aggregated statistics.
- To meet legal, tax and accounting obligations.
3. Who we share it with
We do not sell your personal data. We only share it when necessary with:
- Service providers who work for us: website hosting (Spaceship), email, our payment provider, race timing, ticket scanning, and shipping for merchandise.
- Medical and safety teams at the Event, and emergency services when needed.
- Authorities, where the law requires it.
- Partners and sponsors, only if you have given us separate consent.
Race results (name, team name and time) may be published on our website and shared with the media.
4. International transfers
Some service providers may store data outside Cambodia. Where this happens, we choose providers that protect personal data to a recognised standard.
5. How long we keep it

- Race registration and waivers: 3 years after the Event, in case of claims.
- Health information: deleted within 3 months after the Event, unless it relates to an incident.
- Marketing lists: until you unsubscribe.
6. Photos and video
The Event is photographed and filmed for promotion (see our Terms and Conditions). If you do not want to appear in published material, email us and we will remove identifiable images of you where reasonably possible.
7. Your rights
You can ask us to:
- give you a copy of your personal data;
- correct data that is wrong;
- delete your data, where we no longer need it;
- stop sending you marketing; or
- withdraw any consent you have given.
Email info@glensara-events.com. We will reply within 30 days. Visitors from the EU or the UK also have the rights given by the GDPR, including the right to complain to their local data protection authority.
8. Children
Participants aged 16 and 17 need a signed parental or guardian consent form. We do not knowingly collect data from children under 16, except a parent’s or guardian’s contact details for family activities such as Little Explorers.
9. Security
We use secure (HTTPS) connections, limited staff access and trusted providers to protect your data. No system is completely secure, but we work to protect your information and will tell you if a breach affects you.
10. Changes
We may update this policy. The latest version is always on this page, with the date it was last updated.
